Facilities Administrator

A new opportunity for a proactive and organised Facilities Management Assistant to join a multi-disciplinary Commercial property consultancy based in Fleet. In this role, you will support both the Facilities Manager and Property Manager in the effective management of their multi-occupied properties within their managed commercial portfolio.

Role and Responsibilities of the Facilities Administrator:

  • Communicating issues and scheduled/reactive maintenance attendances to Tenants
  • Obtaining quotations and subsequently instructing contractors/suppliers
  • Issuing annual service charge budget information packs & reconciliation packs to tenants
  • Monitoring ‘Team’ e-mail inbox, dealing with enquires and escalating to FM/PM as required
  • Dealing with utility supplies including updating meter read data, requesting credit returns, requesting copy invoices
  • Issuing of Purchase Orders to contractors/suppliers
  • Coding of contractor/supplier invoices for approval by FM/PM
  • Updating ‘Quooda’ (Health & Safety) database, including liaison with FM/PM to obtain info
  • Updating property key and access code lists
  • Issuing keys to contractors
  • Providing general administrative support to FM, including keeping files up to date.

Skills and Qualifications of the Facilities Administrator:

  • Prior experience in facilities or property management is essential (commercial or residential will be considered)
  • Strong organisational skills with the ability to manage multiple tasks simultaneously.
  • Excellent communication skills for effective tenant and supplier interaction.
  • Proficiency in Microsoft Office and familiarity with property management software.

Salary & Benefits:

  • £25,000 – 28,000 base salary
